This Privacy Policy explains what personal data we collect when you use our website and AlignPlatform™, why we collect it, how we use it, who we share it with, and what rights you have. It has been written to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Our website and platform are not intended for anyone under the age of 18. We do not knowingly collect personal data from under-18s. If you believe we have inadvertently done so, please contact us at info@alignmedia.co.uk and we will delete it promptly.

4. What Personal Data We Collect

Depending on how you interact with us, we may collect the following:

Information you give us directly: your name, email address, telephone number, and postal address; messages you send via our contact forms or chatbot; account details and profile information when you register for AlignPlatform™; content you create, upload, or store within the platform; and responses to surveys or marketing activities.

Information collected automatically: your IP address, browser type, pages visited, and how you navigate our website and platform. We also record calls where you contact us by telephone.

Information from third parties: data received from business partners, analytics providers, or other services we operate, where you have interacted with those services or given permission for your data to be shared with us.

We do not intentionally collect special category data such as health information, religious beliefs, or biometric data. Please do not submit this type of information unless it is strictly necessary.

5. How and Why We Use Your Data

Under UK GDPR, we must have a lawful basis for every use of your personal data. Below we set out what we use your data for, why we are legally permitted to do so, and how long we keep it.

Responding to enquiries and providing customer support Data used: name, email address, telephone number. Lawful basis: legitimate interests. Responding to people who contact us is a reasonable and expected business activity. Retention: 3 years from last contact.

Delivering our services to you Data used: name, contact details, account information, platform content. Lawful basis: contract performance. This processing is necessary to provide the services you have signed up for. Retention: for the duration of our relationship with you, plus 1 year.

Sending you service-related communications Data used: name, email address. Lawful basis: contract performance. We need to be able to contact you about your account or the services you use. Retention: for the duration of our relationship with you.

Sending you marketing communications Data used: name, email address. Lawful basis: consent for new contacts; the soft opt-in rule under PECR for existing customers. You can withdraw consent or opt out at any time (see Section 7). Retention: until you opt out or withdraw consent, or after 2 years of inactivity.

Customer satisfaction surveys and market research Data used: name, email address, survey responses. Lawful basis: legitimate interests. Understanding customer experience helps us improve our services. Retention: 2 years from collection.

Internal administration and record-keeping Data used: name, contact details, details of services provided. Lawful basis: legitimate interests. Maintaining accurate business records is a normal and necessary business activity. Retention: 6 years, in line with the Limitation Act 1980.

Complying with legal or regulatory obligations Data used: whatever is required by the relevant legal obligation. Lawful basis: legal obligation. Retention: as long as required by the applicable law or regulation.

Operating and improving AlignPlatform™ Data used: account information, content created and stored, usage data. Lawful basis: contract performance. This processing is necessary to deliver the platform services you have requested. Retention: for the duration of your account, plus 90 days after closure, after which it is deleted.

Testimonials Data used: your name and any testimonial you provide. Lawful basis: consent. We will always ask your permission before featuring your testimonial in our marketing. Retention: until you withdraw consent, or 3 years, whichever is sooner.

Call recordings Data used: call recordings and any personal data discussed during the call. Lawful basis: legitimate interests. Recordings support quality assurance and accurate record-keeping. Retention: 12 months from the date of the call.

If we ever wish to use your data for a purpose not listed above, we will contact you to ask for your consent before doing so.

6. Marketing and Your Right to Opt Out

We will only send you marketing emails or messages if you have given us your consent, or if you are an existing customer and we are contacting you about similar products or services to those you have already purchased from us, and we gave you a clear opportunity to opt out when we first collected your details.

Every marketing communication we send includes a simple way to unsubscribe. You have an absolute right to object to your data being used for direct marketing at any time, and we will stop without delay.

7. Who We Share Your Data With

We do not sell your personal data. We only share it in the following circumstances.

Service providers: we use carefully selected third-party companies to help us operate our business and deliver AlignPlatform™. These include providers of cloud hosting and data storage, email delivery, analytics, and customer relationship management software. These companies act on our instructions and are contractually required to keep your data secure and not use it for their own purposes.

Legal requirements: we may disclose your data where required by law, regulation, or court order, or to enforce our legal rights.

Business transfers: if AlignMedia is involved in a merger or acquisition, your data may transfer to the new owner. We will notify you before this happens.

With your consent: we will share your data with any other party only with your prior agreement.

8. International Data Transfers

Some of our service providers may process your data outside the United Kingdom. Where this happens, we ensure appropriate safeguards are in place, such as UK-approved Standard Contractual Clauses or transfers to countries that benefit from a UK adequacy decision.

In particular, our use of Google reCAPTCHA involves data being processed by Google LLC in the United States. 9. How Long We Keep Your Data

We only keep your personal data for as long as is necessary for the purposes described in Section 5, or as required by law. Specific retention periods are set out against each processing activity above.

When deciding how long to keep data, we consider the nature and sensitivity of the information, the potential risk of harm from unauthorised use, and any legal or regulatory requirements that apply. Once a retention period expires, we securely delete or anonymise your data.

Under UK GDPR you have the following rights in relation to your personal data. We will respond to all valid requests within one calendar month.

Right to be informed: the right to clear, transparent information about how we use your data. This policy fulfils that obligation.

Right of access: you can request a copy of the personal data we hold about you, free of charge.

Right to rectification: if data we hold about you is inaccurate or incomplete, you can ask us to correct it.

Right to erasure: in certain circumstances, you can ask us to delete your personal data, for example where we no longer need it or where you have withdrawn your consent.

Right to withdraw consent: where we rely on consent as our lawful basis, you can withdraw it at any time. This does not affect the lawfulness of any processing carried out before you withdrew.

Right not to be subject to automated decisions: you have the right not to be subject to decisions made solely by automated means that have a significant effect on you.

12. Google reCAPTCHA

We use Google reCAPTCHA to protect our website and platform from spam. When you submit a form or take certain actions on our site, reCAPTCHA may collect data including your IP address and browsing behaviour to verify that you are a human user. This is done on the basis of our legitimate interest in keeping our services secure. Data is processed by Google in accordance with their Privacy Policy at policies.google.com/privacy.

13. Security

We take the security of your personal data seriously and have appropriate technical and organisational measures in place to protect it against unauthorised access, loss, or misuse. AlignPlatform™ uses encryption for data in transit and at rest, access controls, and regular security reviews.

No method of transmission over the internet is completely secure, and we cannot guarantee absolute security. In the event of a data breach that is likely to affect your rights, we will notify the ICO within 72 hours and inform you directly where required by law.

We may update this policy from time to time. When we make material changes, we will update the date at the top of this page and notify you by email if you have a registered account with us. Where a change requires your consent, we will ask for it before the change takes effect.
